Weddingkart enables you to send WhatsApp announcements to guests, ensuring smooth communication for wedding-related updates, invitations, and reminders.
📢 What is an Announcement?
An announcement in Weddingkart means that a WhatsApp message will be sent individually to multiple guests. This is not a WhatsApp group message or a broadcast list that you may be familiar with.
Each guest will receive the message as a personal WhatsApp message, making it more direct and engaging.
Replies from guests will come as individual responses to the sender.
Announcements ensure that each guest sees the message directly without it getting lost in a group chat.
📝 What is a Template?
A template is a pre-approved message format that ensures consistency, compliance, and quick messaging.
Weddingkart has created a library of ready-made templates for different types of announcements (e.g., RSVP requests, Save the Date, Event Updates, Travel Info).
Every time you create an announcement, you must choose an existing template.
If you need a custom message that is not available in the existing templates, you can request a new template from the Weddingkart team. Once approved, it will be available for use.
This process is required due to WhatsApp Business API policies, which regulate message formatting.
🛠 Creating an Announcement
1️⃣ Navigate to Announcements
Open the Announcements section in the Weddingkart app.
You can choose from:
✨ AI Announcement – Create announcements using AI with just a prompt (faster and easier).
➕ Create Announcement – Create announcements manually by selecting templates.
2️⃣ Choose Announcement Type
Select the type of announcement:
Save the Date 🗓️ – Notify guests about the wedding date.
RSVP Request ✅ – Ask guests to confirm attendance with WhatsApp buttons.
Event Update 📢 – Share schedule changes, venue details, or reminders.
Travel Information ✈️ – Request and collect guest travel details.
ID Collection 🆔 – Request guests to upload their ID cards.
Wedding Invitation 💌 – Send wedding invitations to guests.
Event 🎉 – Announce specific events (Baraat, Sangeet, etc.).
Food 🍽️ – Share food-related information.
Logistics 📍 – Share logistics and directions information.
Reminder ⏰ – Send reminders to guests.
3️⃣ Choose a Template or Request a New One
Select a pre-designed template from the existing Weddingkart library.
If you need a custom message, request a new template from the Weddingkart team.
Once approved, the new template will be available for future announcements.
4️⃣ Select Recipients
Choose individual guests or guest groups.
If you select multiple groups, the union of guests will be taken (each guest will receive the message only once).
5️⃣ Send or Schedule the Announcement
You can choose to:
Send Now – Deliver the message immediately via WhatsApp Business API.
Schedule for Later – Schedule the announcement to be sent at a specific date and time (see Scheduling Announcements below).
📊 Tracking Announcement Performance
Monitor delivery status (Sent, Delivered, Read).
Track guest engagement (RSVP responses, message interactions).
View detailed analytics in the Announcements Dashboard.
🤖 AI-Powered Announcements
Weddingkart offers AI-powered announcement creation to simplify and speed up the announcement creation process.
How AI Announcements Work:
Click ✨ AI Announcement from the Announcements section.
Enter a prompt describing what you want to announce (e.g., "Send a save the date message to all guests").
Optionally attach a PDF or image for reference.
The AI will automatically:
Select an appropriate template
Fill in template variables
Compose the message content
Review the generated preview, edit if needed, then select recipients and send.
Benefits:
Faster creation – Takes 1-2 minutes instead of 5-10 minutes.
Simplified workflow – Just describe what you want in natural language.
Smart template selection – AI chooses the best template for your needs.
📞 Voice Announcements
Weddingkart supports voice announcements that deliver personalized voice messages to guests via phone calls.
How Voice Announcements Work:
Create a Voice Announcement from the Announcements section.
Upload an MP3 recording of your voice message (or record one directly).
Select recipients (individual guests or groups).
Preview the cost based on call duration and guest locations.
Send the voice announcement – guests will receive a phone call with your recorded message.
Use Cases:
Personal invitations for VIP guests
Urgent updates that need immediate attention
Special messages in your own voice
Pricing:
Voice call costs vary by country and call duration.
Costs are calculated per minute per guest based on their phone number's country.
📅 Scheduling Announcements
You can schedule announcements to be sent at a specific date and time in the future.
How to Schedule:
After creating an announcement and selecting recipients, choose Schedule for Later.
Select the date and time when you want the announcement to be sent.
Confirm the schedule – the announcement will be automatically sent at the scheduled time.
Managing Scheduled Announcements:
View all scheduled announcements in the Schedules section.
Edit pending schedules to change the date/time or recipients.
Cancel scheduled announcements if plans change.
Send immediately if you want to send a scheduled announcement right away.
🔄 Resending Announcements
You can resend announcements to guests who haven't responded.
You can also reschedule announcements to send at a different time.
